Creating a New Job Requisition

This online guide is designed to walk you through the process of opening and filling a new staff or faculty position in select departments supported by Provost HR. If you wish to fill a new staff position, please carefully read and follow the instructions below. We strongly recommend you read through each of the steps below in their entirety before proceeding with creating a requisition.

This entirely electronic and paperless process replaces the previous process of using multiple PDF forms and obtaining paper signatures. We hope you enjoy using the new experience; if you have any questions or wish to provide feedback, contact your HR Partner.

Find and download a matching job description

Visit the USC Manager Gateway at this link to find a matching job description for the position you wish to hire for. Clicking on the number of each job code will bring up that code’s full description, which you can use to see if the code is an accurate fit for the position you wish to hire. You can also press Ctrl and F on your keyboard (Windows) or Command and F (Mac) to search the entire page. Once you have found the job description for the position you wish to hire, download and save it to your computer – you’ll need it later on.If you’re unsure which job code to choose for the position you wish to hire, reach out to your department’s HR Partner.

Find your account number

You will need to know the cost center (compensation account number) for the position you wish to post. This is the USC account from which this employee’s salary will be paid from. Some employees will have their salary drawn from multiple cost centers; for employees that meet this criteria, you will have the opportunity to specify multiple account/cost center numbers, as well as the percentage of funding to be drawn from each account/cost center.If you aren’t sure what your account number is, you may look it up with this tool.

Find your region code

You will also need to know the region (home department) code for the position you wish to post. For employees that receive them, this number specifies where to physically deliver paper checks. For all employees, it specifies the Division field on an employee’s public USC Directory listing.

Complete the online requisition form and stay up-to-date

Once you have the necessary information to proceed, you may fill out the request to open a new personnel requisition at the link below. This is the main electronic form which formally begins your request to open a new position.

If you’ve gathered the information necessary in the previous steps, this form shouldn’t take more than a few minutes to complete. Once you complete it, you’ll receive a tracking number via email where you can follow your request as it gets processed. After that point, you’ll be prompted to upload the job description document you chose earlier as well as e-sign additional documents necessary to process your job requsiiton. Keep a close eye on your email to ensure you don’t miss these instructions!

Before reaching this point, we recommend you discuss your need for this position with both your manager and your senior business office (SBO), if you haven’t already done so. While you will have to seek their formal approval during this process, having it earlier on makes things move much more smoothly.

Before you begin creating a req, you will need to know your Region Number and Account Number. If you do not know these details, you can find them through the Find My Region Number and Find My Account Number links under Resources on the right.

Once you have gathered all the necessary information, click the Create A New Req link under Resources on the right. After you submit the req, you will receive an email to submit the completed Job Code through.


Note: Clicking submit on the Req page acknowledges that you have already obtained all necessary approvals within your department and with your Senior Business Officer.
